Charity Fair:  Stands:  And Deliver 2013

This is a new venture that we aim to replicate each year.  We are starting small, but immediate response has indicated that the event will quickly grow and become established.

Siawns Teg has past, current, and hopefully future working relationships with a number of service providers, all doing good work in delivering services that enable our community members to feel more included and supported.  In our experience there are a variety of smaller charities, agencies, community groups and public service providers that are not well known, and this presents a problem for people who are trying to get help.  At the same time those agencies without the resources to ‘market’ their services are often hidden, despite having valuable knowledge and experience to share.

This Charity Fair (With the strap line this year – STANDS:  AND DELIVER) is an opportunity for the many organisations from all sectors to demonstrate what they do with and for the community.

Bear Lanes in Newtown will be the venues in 2013.  There is room, under cover, for 40 tables of 2m length.  There will be a variety of interactive activities and entertainment going on, with childcare available.  The usual necessary support agencies including fire, police, and first aid, are already involved.

This is a complicated event to organise, and we would be grateful for support from organisations or key event organisers during the run up to the event, and on the day.

There will be a charge for organisations that take part of £30.  A refund of £10 will be given to those organisations that turn up on the day.   Spaces will be allocated, and so an early completion of the attached booking form is recommended.

A programme identifying participating organisations will be available on the day at no cost.  If however you want to advertise an event or your services a small cost will be made.  Please ask for details.

The Application process

Closing date for applications is 15th July 2013
Send fee with application.  We regret that no fee paid = no stand
Fee by 15th July is:           £30 by 15th July if you supply your own table
                                                £40 if you require us to organise a table.
                                                £10 refunded on the day
Spaces will be designated to ensure mix.  Stalls must stay within marked area so as not to obstruct shop entrances and emergency services.
Stall space is available in the old Laura Ashley shop, and other vacant shops at the time.  Torch effect lighting will make the area attractive, and organisations wishing to be creative can have space in vacant shops on request
Your address, website, phone and contact email will appear in the programme.  Please make sure these are clear on the application.
All organisations must hold Public Liability Insurance.  A copy should be available during the day.
Displays:  Organisations can display items that promote their activities, services, and crafts relevant to their cause.  If you are not sure, please ask us in advance.
Sale of goods:  Acceptable if it furthers the aims of your organisation.  The sale of alcohol is not allowed
Raffles and prizes are allowed.  Each organisation is responsible for managing their fundraising activities, which includes being registered under the Lotteries and Amusements Act 1976.  Evidence of registration must be available on the day.
Collections: Tin shaking is not acceptable, but money boxes on tables are
Electricity is not available.  Candles are not allowed.  You can provide torches to raise the profile of your stand.  Generators are prohibited
Water is not available
Entrance to the event is free to the public at large.
The use of audio equipment is not allowed.  The Organiser will be attracting people with music at each entrance
Access to Bears Lane to set up will be 7am on 24th August.  Doors will open to the public at 8.30am.  Stalls should be emptied by 5pm.  Bears Lane is locked overnight, so it may be possible to leave items on site on Friday evening prior to the event.  Please ask.
Organisations are required to remove all litter on vacating the site.  This helps reduce the cost of clearing up.
Siawns Teg and Bear Lanes Management are not responsible for loss, accident, damage or claim made against participating organisations.
